LRRC Board Meeting-6/30/10
1. Review of Changes-
Brian got everyone’s opinion on how the Board felt the election process went with regard to voting. Everyone agreed that it went well and the electronic votes were received.
2. Treasures Report-
Reviewed the Treasure’s report for the year from Steve Hollowell, Treasurer. The report looks good.
3. Membership Drive/Discounts-
Members receive discounts at Go Running, Sporty Runner and Easy Runner. Listing this as well as other member discounts on the website was discussed. Brian mentioned that members make up their membership dues with the discounts they receive on shoes. Offering a discount to LRRC members for their CCC 10k registration was discussed. LRRC members will receive a $3 discount on race registration.
4. July 5k’s-Firecracker/Twilight/Dam Night Run-
The Firecracker is this weekend and the club has volunteers at the finish line and registration. For the Twilight 5k, the Board discussed the type of food and what we can offer. Brian said he will contact other members about bringing the grill and cooking the food. The club will offer hot dogs and needs volunteers there. For the Dam Night Run/Tailgate Party, a member is providing a boat and we will have a canopy, tables and possibly a generator.
5. Race for the Cure 5k-
The commitment from Race for the Cure is $1500. The club will be working the finish line. Bill said we will need at least 30 volunteers and 1200 runners will have a chip this year. Part of the Club’s job will be making sure the first 300 finishers get a medal. The Race for the Cure is October 15th.
6. LRRC Track Meet- Brian mentioned that he would like to organize an actual
track meet either open to the public or for LRRC members only. Having some other clubs involved was mentioned as well as the track meet being open to non-members. It could be done at no charge and will have various distances.
7. Board information on website-e-mails
Brian confirmed with the Board members that he could add their e-mail addresses on the Club website.
8. Two Rivers Park Bridge-Opening Ceremony-Buddy Villines-July Meeting
Brian said he attended a meeting on the new Two Rivers Park Bridge and it is currently ahead of schedule. It could open as early as February 2011 but could be June. At that meeting they discussed with Buddy Villines ideas for an opening ceremony. A relay race from down town and a fun run were discussed at the Board Meeting. Buddy Villines will speak at the July meeting about the Two Rivers Park Bridge on July 15th at Whole Hog.
9. Miscellaneous
Steven mentioned the club having a calendar where any club member can access it and add a run they are doing to it as well as view where other runners are planning to run. Brian discussed starting back up a Thursday night run at 7 p.m. The club agreed and this was mentioned in the newsletter. Ginea mentioned that we need to get more lights on the River Trail.

Minutes from LRRC Board Meeting

All Members Present
Discussed club shirts. Decided based on votes from the club to order Brooks technical shirts that would be sold to team members for $15.00, which is the cost of the production. All new club members or old members who have not yet received one are given a free cotton t-shirt and additional cotton shirts can be purchased for $5.00. It was decided that an email would go out to inform club members of the shirts and to request what they would like to have ordered.
Next topic of discussion was the revision of the By-laws. The following were the proposed areas of the By-laws that needed to be changed:
Article IV to reflect the family discount for membership dues
Article VI to reflect that there are 10 board members including President, President Elect, Past President, Treasurer, Secretary, Membership chair, Newsletter Editor, and 2 At Large Members
It was suggested that the terms for the officers be 1 year for the President, which would result in a 3 year commitment once the President Elect and Past President terms had also been fulfilled; and 2 years for the other offices with a rotation of which were being elected so that it wouldn’t constantly be a Board of all new officers.
It was also suggested that the CCC Race Director and Newsletter Editor be appointed until they choose to leave or are “overthrown” by the club, and that the At Large members be appointed by the President and be replaced every 2 years on staggered terms.
Section F of the By-laws dictates how offices are elected. Suggested that it should be announced via web or newsletter which positions are open. At that time nominations could be given to the president by 48 hours prior to the Board meeting. There was concern over how we would get an accurate representation of voting.
It was decided that a draft of the revised By-laws would be made and voted on by the board and then presented to the club.
Other topics of discussion were the responsibilities of the officers, and who should be in control of requested race help. It was decided that someone should be designated to be the lead in coordinating volunteer help for races and whether or not it is free should be determined by the level of help being requested. Also discussed what deems a practice as “official”. And what the club is liable for if it is an official practice. If an event is listed as approved by RRCA, our insurance will cover it.

Over the past three months the LRRC Board of Directors has been busy with several projects and central among these was to re-draft an official set of by-laws for the club. As a non-profit organization, the LRRC is required to have a functioning set of by-laws to serve as the rule book for the club. The by-laws were last updated in the mid-90’s and while many of those articles were still appropriate, several were outdated and no longer applicable to today’s club. For this new draft, the Board looked at how the club does things now and also tried to anticipate how things will change in the future. We also looked at what we could improve. A central theme was to balance club history and the experience of long time Roadrunners with the enthusiasm and ideas of new members; to get involvement from all. After four meetings, dozens (hundreds?) of emails, and 5 re-writes, the LRRC Board of Directors is proud to present a 2009 draft of the By-Laws of the Little Rock Roadrunners Club, Inc.
A quick summary of changes from current procedure is outlined below:
- Membership Chair was changed from an appointed position to an elected office to give all club members more input into the make-up of the board and more opportunity to be involved.
- The term length of Treasurer, Secretary, and Membership Chair was set at 2 years in offset terms. This will promote a more regular turnover of board positions to get new people involved while keeping a good mixture of veterans and new members on the board.
- Nominations for any office will be taken prior to the June elections and an electronic means of voting will be available for members unable to personally attend the June meeting.
Feedback and questions are welcome and can be made via the comments option of this blog post. You can also email the Board of Directors at board@littlerockroadrunners.com. A club-wide vote on the by-laws will be made at an upcoming club meeting. We have worked hard to create the best by-laws to serve our club, but also built into the draft is a means of amending these articles as needed in the future. Once passed, the by-laws will be posted on the LRRC website and reviewed annually.

Thanks to our new logo, we all know that the Little Rock Roadrunners Club was founded in 1977. For many club members, myself included, that information represents our entire knowledge of LRRC history. I think many club members, myself included, really are interested in learning more of the Club’s history, there just isn’t any way to read up on it. Until now…
One of the projects that the LRRC Board of Directors has taken on this year is to find and restore as much LRRC history as possible. As a start, June Barron contacted long-time club members Lou and Charlie Peyton. Lucky for us, the Peytons have issues of our Club newsletter going back over 30 years. I will be scanning these copies and posting them to the Club website on the RunAround archives page.
The oldest RunAround that the Peytons had was from January 1979 (I was 6 months old at the time); it features 3 articles and full results from the 2nd annual Road Hog Road Race 10K. You can check it out for yourself, here:

The RunAround was half-sheet size back then with small type, but since it is a PDF file you can enlarge and rotate the image for your viewing needs. January 1979 is the current starting point, and additional RunAround back issues will be posted on our Archives page in the coming weeks and months.
Other plans include interviews with founding Club members and posting of old Capital City Classic 10K results back when it was called the Pepsi 10K.
